Our privacy promise
We ask for as little as possible, use it only to make and deliver your film, and delete it by 31 January.
Who we are
Letters Sent North is a trading name of Zymatic Products Pty Ltd (ABN 15 677 429 239). Contact: hello@letterssentnorth.com.
What we collect
- From you (the grown-up): your email address, who the letter is from (for example "Nana and Pop"), and payment details, which go straight to Stripe. We never see your card number.
- About the child or children: first name (or what you call them), an optional pronunciation, the youngest child's age, and the letter you write.
- We never ask for a photo, surname, school, birthday, address or voice recording of a child.
- Technical: your IP address and country (to show prices in your currency and prevent abuse), cookieless page statistics from Cloudflare Web Analytics, and, if you allow it, Microsoft Clarity recordings of how the site is used (with anything you type hidden).
Letters are written by adults. By posting a letter you confirm you're 18 or over and the child's parent or guardian, or have their permission.
Why we use it
- To make your film and email you the private link (to perform our contract with you).
- To answer questions, remake or refund (contract and legitimate interests).
- To keep the service safe, including a person reading a letter before Santa when needed (legitimate interests).
- To send occasional news and offers, only if you tick the box (consent). Unsubscribe any time.
Who helps us
Cloudflare (website, storage and page statistics), Stripe (payments), Omnisend (email), Microsoft Clarity (site improvement), Meta (measuring our Facebook and Instagram ads) and the production service providers that help us write, voice and produce each film. Each only processes data to provide their service to us. Some are outside your country; we rely on their standard contractual protections.
How long we keep it
Letters, films and children's names are deleted by 31 January after each Christmas. Payment records are kept as tax law requires. Email subscribers stay on our list until they unsubscribe.
Cookies and advertising
Cloudflare Web Analytics counts visits without cookies. With your permission we also use: Omnisend cookies that remember your visit and tailor our emails; Microsoft Clarity, which records how people move through the site so we can fix what's confusing (anything you type, including your letter, is hidden from it); and Meta's pixel and Conversions API, which tell Meta when someone who saw our ad places an order (Meta receives a scrambled version of your email address and the order value, never a child's name or your letter). Visitors in the UK, EU and Switzerland are asked first, and none of this runs unless you choose "Accept all". Everyone can change their choice at any time with "Cookie settings" at the foot of each page. Family links you share so others can watch a film carry no cookies or tracking of any kind, and we never put children's names in advertising or email-marketing data.
Your rights
You can ask to see, correct or delete your data, or object to how we use it, by emailing hello@letterssentnorth.com. You can also complain to your data protection authority (in the UK, the ICO; in Australia, the OAIC).
